Data and enrolment
Privacy Policy
This policy explains how LocalVisa English Courses collects, uses, stores and shares personal data submitted through this website, including registration forms, email enquiries and phone contact. It applies to this site and to enquiries made through it.
Who we are
LocalVisa English Courses is an English language course provider based in London, United Kingdom. We teach ESOL, General English, Business English and IELTS preparation to adult learners, in small groups and one-to-one lessons, at UK locations.
Contact details, including our postal address, phone number and email address, are published in the footer of this site and on the contact page. If you would rather write to us than use the web form, the address and phone number below are staffed during opening hours.

What we collect
When you submit a registration form, we collect your first name, surname, email address and phone number. Those four fields are the only details the form asks for. When you contact us by email or phone, we collect the details you choose to provide, which may include your current English level, course preferences and availability.
We also collect limited technical information generated by your visit, such as pages viewed and general device type. This helps us see which course pages people actually use and where the site is slow or confusing. Cookie details, including what each cookie does and how to remove them, are set out in the cookie policy.
We do not ask for payment card details, passport numbers or documents through this website. If a course requires identity paperwork, we ask for it later, directly, once you have decided to enrol.
What the form asks for
- First name
- Surname
- Email address
- Phone number
Anything else you tell us by email or on the phone is kept only to answer your question about a course.
Why we use it
We use your details to respond to your enquiry, suggest a suitable course and level, confirm start dates and fees, and manage your enrolment if you register. We may contact you about the specific course you enquired about, usually by email or phone during opening hours.
We do not sell personal data, and we do not use registration details for unrelated marketing. If you ask about a General English course, you will hear about that course and the options next to it, not about anything else we happen to run.
Our opening hours for enquiries and phone calls are Monday to Friday, 9:00 AM – 6:00 PM, and Saturday, 10:00 AM – 2:00 PM.
Legal basis
Steps before a contract
We process personal data to take steps at your request before entering into a contract, so that we can answer questions about availability, level and price.
Performing a contract
Once you enrol, we process your details to run the course: timetables, tutor allocation, attendance records and fees.
Legitimate interest
We rely on our legitimate interest in responding to enquiries and running the school. Where consent is required, we ask for it separately rather than hiding it in the form.
Retention
Enquiry details are kept for as long as needed to handle your enquiry and any resulting enrolment, and for a reasonable period afterwards for administrative and accounting purposes. In practice that means we keep a record while your course is running and for as long afterwards as UK tax and accounting rules require. Data that is no longer needed is deleted or anonymised.
If you ask about a course and decide not to take it, we do not keep the enquiry indefinitely. Records that have gone quiet are cleared out on a regular cycle rather than left in place because deleting them is inconvenient.
Kept while relevant
Enquiry correspondence, course choices, level notes, timetables and attendance for active students and alumni during the administrative period.
Removed when not
Abandoned enquiries, old call notes and technical logs whose usefulness has passed. These are deleted or turned into anonymous statistics.
Sharing
We share personal data only with service providers who help us operate the site and communicate with you, and only to the extent needed. In practice that means the company that hosts this website and the services that carry our email; they see data in order to keep the site online, not to build profiles of learners.
We may disclose data where required by law or by a competent authority, for example in response to a valid request from a regulator or the police. We do not pass enquiry details to course brokers, lead-generation lists or advertising networks.
Where a service provider is based outside the United Kingdom, we use providers that put contractual protections in place before any personal data is transferred.
Your rights
To make a request, contact us using the details on the contact page. We answer data requests in the same way we answer course enquiries: by email or phone, in plain language.
-
Ask for a copy
You can ask for a copy of the personal data we hold about you, and we will explain what it is and why we have it.
-
Correct inaccurate details
If a name, phone number or email address is wrong, request a correction and we will update the record.
-
Ask for deletion
You can ask us to delete your details where there is no overriding obligation to keep them, such as an accounting rule.
-
Object to processing
You can object to certain processing, including any use we make of your details that goes beyond running your course.
-
Complain to the regulator
You also have the right to complain to the UK Information Commissioner's Office if you are unhappy with how we have handled your data. We would rather hear from you first, so we can put it right.
Security and changes
We take reasonable technical and organisational measures to protect personal data: access to enquiry records is limited to staff who deal with admissions and course administration, and the website is served over an encrypted connection.
This policy may be updated; the current version is always published on this page. If we change how we use personal data in a way that affects you, we will say so here rather than quietly rewriting the wording.

Questions before you register
Common questions about the data we hold, how long we keep it, and what to do if something is wrong.
Do I have to submit the registration form to ask a question?
No. You can call or email us with a question and we will answer it without a form. The registration form exists so that we have your name, surname, email and phone number in one place when you are ready to talk about a course.
How quickly will you reply to a data request?
We aim to acknowledge a data request within a few working days and to answer it within one month, which is the period UK data protection law allows. If a request is complex, we will tell you why and keep you updated while we work on it.
Will you contact me about other courses?
We contact you about the specific course you asked about. If a nearby option, such as a different start date or an evening group, seems like a better fit, we may mention it in that same conversation. We do not add you to a general mailing list because you filled in a form.
What happens to my details if I move abroad?
Your record stays with us in the same way, but you can ask us to delete it at any point, and you can reach us by email from outside the United Kingdom. If you want a copy of your course history for another school, ask us and we will provide it.
Does this policy cover the whole site?
Yes. It covers this privacy policy page and every page of this website, including the course pages and any enquiry you send through them. Cookies are covered in more detail in the cookie policy.
Contact us about your data
If you want to see, correct or delete the information we hold, or if you simply want to know whether we have anything on file for you, get in touch. You do not need to explain why.
Registration for a course happens on the contact page, where the form asks for first name, surname, email and phone number, and sends with the Register button. This page is for questions about your data rather than enrolment.
